The Consultant will work closely with community minister Rev. Joseph Santos-Lyons, Conference co-chairs Cat Nguyen and Erol Delos Santos, and our administrator Noemi de Guzman.

About DRUUMM

The Diverse & Revolutionary Unitarian Universalist Multicultural Ministries (DRUUMM) is a national organization that cultivates spiritual community, leadership development, and justice-rooted belonging among Black, Indigenous, and People of Color (BIPOC) Unitarian Universalists.

In September 2026, DRUUMM will host DRUUMM Village: Beloved Gathering, a national conference for approximately 100–150 participants at Unity Village outside Kansas City, Missouri (September 17–20, 2026). This gathering will include keynote speakers, workshops, worship, caucuses, and community-based programming grounded in BIPOC UU spiritual and justice traditions.

We are seeking a detail-oriented, relational, and highly organized Conference Consultant to support program development and execution.

Position Overview

The Conference Consultant will provide coordination and logistical support for the programmatic aspects of the Beloved Gathering, including workshops, worship, keynotes, and community activities. This role ensures that the program vision developed by staff and volunteer leaders is implemented with excellence, clarity, and strong communication. This is a five-month, limited-duration contractor position (May 1 – September 30, 2026).

Compensation: $1,000 per month (1099 contractor)
Additional Support: All conference expenses, including registration, travel,meals, and housing expenses are covered in addition to contract fees.

Scope of Work

Program Development & Coordination

  • Attend program workgroup meetings (primarily via Zoom)
  • Take and distribute meeting notes
  • Maintain and update the program workplan
  • Track tasks, deadlines, and calendar invites
  • Maintain a detailed tracking sheet of speakers (contact info, status, logistics, honoraria, etc.)
  • Identify emerging tasks and proactively support the planning committee

Speaker & Presenter Logistics

  • Coordinate registration, housing, travel, and honoraria for selected speakers
  • Ensure timely and clear communication with presenters
  • Collect bios and high-resolution photos
  • Draft and refine program titles and descriptions
  • Coordinate recognition gifts
  • Confirm speaker timing and final schedule details

Materials & Hybrid Support

  • Arrange materials and details for on-site programming
  • Support hybrid elements (e.g., Zoom or streaming coordination where needed)
  • Proof the final program schedule for clarity and accuracy

Post-Event Wrap-Up

  • Confirm payments and follow-up communications
  • Assist in developing post-conference survey and compiling evaluation results
  • Support summary reporting for program team and Steering Committee

Deliverables

  • Consistent participation in program workgroup meetings
  • Up-to-date speaker and logistics tracking sheet
  • Finalized program schedule and speaker communications
  • On-site facilitation and coordination of program
  • Organized digital archive of program materials
  • Post-event evaluation summary and confirmation of payments

Qualifications

We are especially seeking someone who:

  • Is a DRUUMM member (preferred) or has strong familiarity with BIPOC UU communities
  • Understands the culture, dynamics, and values of multiracial BIPOC spiritual spaces
  • Is highly organized and attentive to detail
  • Has experience coordinating events, speakers, or conferences
  • Communicates clearly and in a timely manner
  • Can manage logistics while supporting volunteer leaders with care
  • Is comfortable working digitally (Google Workspace, shared drives, tracking sheets, Zoom)
  • Can translate planning conversations into clear task lists and workplans
